在寫作中把讀者放在第一位

對於任何想獲得成功的人來說,專業的寫作能力是必不可少的。提高寫作水准的最好方法之一是關注讀者需要知道的東西,而不是你想說的話。
把最重要的資訊放在第一位,讓他們更容易。尊重他們的時間,保持簡短的溝通。
總是為一個聰明的新手寫一個聰明的讀者,他不一定是你寫的任何主題的專家。要做到這一點,請避免使用縮略詞和行話:你不希望你的讀者因為不得不走開去查閱某件東西而失去注意力。他們可能不會回來了。

寫得簡單些

當你為工作而寫作時,你可能會很容易依賴行業行話或大話來鼓吹你的想法。但誇張的語言並不能讓你聽起來很聰明,而且可能會讓讀者反感。
大多數人被一種更具會話性的語氣所吸引。所以,選擇更簡短、更熟悉的詞彙,並以任何人都能理解的作法解釋事情。例如,寫下“可能影響合併的事情”,而不是“可能影響合併成功完成的問題”。

如何改進你的寫作能力?

  1. 挑戰自己要寫得精簡明確。例如,如果你將一個句子拆成了二句,或更多句,你的讀者能夠清楚明白嗎?或是,你一句內容包含了好幾個主詞或受詞,或用了好幾個連接詞,讀者能夠分辨出你真的想說什麼嗎?
  2. 找出你的壞習慣。找出贅言,被動表述(“有些事必須獲得解決!”),以及語意模糊的詞句。這類的文句會讓讀者弄不清楚你真正想要說什麼。
  3. 找同事一起相互校正。人們通常願意相互幫忙,也許你習慣寫出太長的句子,而你的同事困擾于不知如何表達他想的概念。那麼,你們就可以相互校正,如此,你們彼此的寫作能力都可以進步。
  4. 養成檢查校正的習慣。在寫作完稿件,在發出前,務必自我檢查,形成你的寫作紀律。同時,將讀者的回饋意見,例如哪些句子他看不懂,都要銘記在心,不要重複犯錯。

  5. Google Mail有個“undo send”的功能可以讓你在按下“send”鍵後,有幾秒的時間取消發送,讓你有最後幾秒的時間反悔。
總之,謹慎發言,在你發送郵件前,請務必再閱讀一次。

在你寫作之前,先了解你的讀者

溝通是雙向的功課。若不了解你的讀者,你很難有效傳遞你的想法。
你最好了解你的讀者的目的、優先次序,以及什麼會激勵他們。然後點出他們最關切的內容。

這樣的主旨欄用詞,在政府機關與軍事單位的公文書,經常可以見到。
這些劃分可能看起來語氣明顯強烈,帶有不必要的感歎口氣,但它們會使你的電子郵件在收件人的收件箱中顯露無遺。因此,如果你需要將已發郵件做分類整理,也可以將它們區分為:請參照、敬請核示、敬請遵辦。

如何修正編輯你的寫作?

快速寫出你的初稿

你要設定預備完成的時間,例如5 – 10分鐘要完成一個半頁的寫作。這個時候,先不要計較你的文字是否完美。做完初稿,先儲存(save)起來。
如果你發現碰到窒礙了,跳過去,先往前寫你有把握的下一部分,寫完後再回頭來對付有問題那一段。
有了初稿后,你再回頭思考文章的組織結構。依照結構整理過後,再做最後文字的潤飾。

快速擬好你的第一版草稿

要克服這個困難,最關鍵的就是在你想太多之前,趕快將你在想的內容先寫出來。然後,再來想如何將這些內容的架構理順起來。一旦你做完這些,再來修飾文句。不要等到你有更多的靈感。
要寫好一篇文章的另外一個關鍵是,給自己設定每個段落必須完稿的時間。例如,要求自己每個段落,必須在5分鐘內寫完,沒有寫完前,不要有其他雜念,不要中途去瀏覽不相干的網頁,先專心將一個概念完整寫出來。
但是,萬一你發現思考卡住了,寫不下去了,就先停筆,或者起身動一動,深呼吸幾口,讓頭腦恢復清明。要是如此做,都還無法克服困難,就乾脆先拋開,換到下一個段落。等到你做完其他部分,也許你就有新的思路,知道如何解決之前遇到問題了。

注意你的郵件轉發

關於郵件轉發:
  1. 不要將郵件大量轉發。避免將收到的郵件,沒有差異地轉發給他人。要有針對性地轉發,好好根據郵件主題與內容的性質,選擇你的轉發物件。應該從收件人的立場想到:他知道我對什麼話題有興趣,而不要讓他發出天啊,他又發來一封無聊的郵件!
  2. 不要將自以為是笑話的郵件大量轉發。你自以為有趣的笑話,對他人未必如此感受,尤其要避免在未經慎選收件人的情況下,發生收件人感覺受到侮辱的狀況。
  3. 關切收件人的感受。有些人會認為收到無聊的郵件是浪費他的時間,他可能因為你一再地無禮轉發信件的行為,而正在考慮將你列入他的黑名單。因此,如果你幾次轉發郵件給他,都沒有收到他的回應,你應該明白這是個暗示,而應該將他在你的收件名單中剔除掉。

  3. 避免專業行話。專業行話適合在專家之間做溝通,但是如果你自己不十分明白,或是你的讀者不熟悉相關領域,使用行話是沒有意義的,也會讓人感覺你在擺弄,產生反感。

寫作商業文件,注意事件時序;閱讀時,則可以倒著讀

事件的發生,都是有時序的,一件事發生后,才發生另外一件,再出現另外一件事。這樣的時序結構,不僅發生在小說、電影,在敘述商業性質的寫作上,也是如此。如此寫作,能夠幫助商業文件的讀者能夠順序的了解事情的原委經過。這樣也能夠讓你清楚交待事情的經過,讓描述的過程有效呈現,也讀起來有趣。
為了讓你在寫作時,能夠清楚交待事情發生的經過順序,不會發生跳來跳去的不順暢的狀況,你可以在下筆前,先列出一張重要事件項目時間表,然後依據這個順序結構來幫助寫作。
然而,在閱讀時,我習慣是倒著讀的。先閱讀作者的結論,了解他的主張與結論。你也許就會產生興趣或是質疑。
接著,你可以倒著看,了解發生了哪些重要的事情,如此閱讀,你就能夠先掌握了最重要的內容,並且了解了事情發生的邏輯。

  3. 必須做更多刪減。仔細將你的文件一句一句的重新閱讀過,如果有任何一句與你要表達的重點主題無關,就刪掉它。

1. Re-optimization. Check the structure of your article again and keep only those paragraphs that support your focus.
2. Consider using an informal tone. Although you're writing a business report, it doesn't mean you have to write it formally. Because you want your article to look professional, maybe you will put in some long and complex sentences. If you write in an informal tone, sometimes you will be able to act more directly and accurately.
3. More deletions must be made. Read your document carefully, sentence by sentence, and delete any sentence that has nothing to do with the main topic you want to express.

寫得清晰,比寫得簡短重要

我在之前的博客文章【寫好你的商業文件】中,提到:
儘量簡短:無論你是寫郵件或是寫100頁的方案文件,盡可能簡短而不要損失重要的內容。但是,要注意邏輯與客觀資訊/資料,不要空談概念,避免只使用空泛的形容詞。
事實上,寫得清晰,比寫得簡短重要!
我經常看到員工的報告、客戶的來信,或是在網頁上看到的網友留言,經常過於簡短到我不知其所云,要費心猜半天。
這些錯誤通常發生於:
  1. 自我假設閱讀者瞭解故事背景
  2. 缺少邏輯,組織不好
  3. 敘述概念多於敘述事實
  4. 沒有明確說出目的與需求
  5.  文句不通順
商業書信固然要求簡短,但是不要因此犧牲了重要內容。
一個簡單的檢查方式,在發出信件前,自己以收信人角度再讀一次,看看自己是否看懂了。
發佈日誌,寫報告,盡可能避免像寫日記文體一般。注意斷句、段落、盡可能使用列表、加注標題。

Clear writing is more important than short writing
In my previous blog post [Write Your Business Documents], I mentioned:
Keep it as short as possible: Whether you're writing an email or a 100-page proposal, keep it as short as possible without losing important content. However, we should pay attention to logic and objective information/materials, not empty talk about concepts, and avoid using only empty adjectives.
In fact, it is more important to write clearly than to write simply.
I often see reports from employees, letters from customers, or messages from netizens I see on the web, often too short to know what they are talking about, so I have to guess for a long time.
These errors usually occur in:
  1. Self-Hypothesis Readers Understand the Background of Stories
  2. Lack of logic and poor organization
  3. Narrative concepts are more than facts.
  4. Failure to specify goals and needs
  5. Incomplete sentences
Business letters require brevity, but don't sacrifice important content.
A simple way to check is to read the letter again from the recipient's point of view before sending it to see if you understand it.
Publish a journal, write a report, and try to avoid writing like a journal style. Pay attention to clauses, paragraphs, lists and headings whenever possible.

很多經理人寫出很爛的商業文件,你不要成為其中之一。
  1. 讓你的方案(proposal)成為客戶的最優選擇。一個好的方案,可能會讓你贏得一個新的生意機會。全神貫注在寫好你的商業方案,讓你有最大贏得客戶專案的機會。你應該怎樣寫?
  2. 從客戶的關切點來寫你的方案。客戶希望立即知道你的建議方案是什麼,他甚至希望不用讀你的文件就知道你的建議是什麼。他希望能夠立即得到解決方案,做出他的決定。他希望知道你提供的資訊、創意與建議。那麼,你該如何寫呢?
  3. 在時間緊迫下寫好你的方案。即使你才華橫溢,有千百個創意,你還是會面臨極為有限的截稿時間。儘管如此,你還是要做好一份清晰而動人的簡報。
  4. 寫好摘要說明(Executive Summary)一段簡明的執行摘要,可以將你的關鍵資訊、預期結果與可能衝擊,清楚地描述完畢。
  5. 即使是技術內容,也要簡明易懂。如果你的方案中無可避免的必須包含技術內容,如果不能讓客戶簡明易懂,那麼你的生意就死定了。然而,一個簡明的技術說明,可以點出關鍵要素與價值,不要輕易忽略。
  6. 要適合當下的生意氛圍。生意氛圍遠比將文字寫下來還要重要。如果你寫的不搭調,不符合你的客戶的調門,你多半要吃閉門羹了。如果能夠讓客戶感受到你的方案是為他量身訂做的,將為你加分不少。
  7. 儘量簡短。無論你是寫郵件或是寫100頁的方案文件,盡可能簡短而不要損失重要的內容。但是,要注意邏輯與客觀資訊/資料,不要空談概念,避免只使用空泛的形容詞。
  8. 注意用詞、語彙要正確。不正確的用詞、語彙會讓你顯得不專業,甚至會讓讀者產生誤會。
  9. 謹慎發送你的郵件。最後,在遞交郵件前,再仔細想一遍。什麼時機是成熟可以遞交你的方案?如何讓對方收到你的郵件後會有效回應你?你稱呼對方的敬稱合乎禮儀嗎?

If you write a tune not meet your customer's tone, you probably want to eat cold-shoulder treatment. If we can let the customer feel your program is tailored for him, will give you a lot of extra points.
  7. As brief as possible. Whether you are writing a mail or a 100 pages proposal, as short as possible without loss of important content. However, attention should be paid to the logical and objective information / data. Dont just talk concept, and avoid using only vague adjectives.
  8. Pay attention to the proper use of words and vocabulary. Incorrect words and phrases will make you appear unprofessional and even misunderstand the reader.
